Age Concern Southend-on-Sea (“ACSOS”) wishes to appoint a Bookkeeper to assist in managing our day-to-day accounting and finance requirements.

ACSOS is a small, independent charity formed in 1974. The charity has four full-time and five part-time employees and c.200 volunteers. The main aims of the charity are to deliver volunteer services to the older people of Southend. These services include befriending, telephone befriending and a volunteer drivers service. In June 2018 the charity entered into a 20 year lease of the former Havens department store in Westcliff with the aim of converting it into a “one-stop” centre (“The Haven”) housing all of the facilities and services needed by the older people of Southend and surrounding areas. The Haven will deliver activities and services for older people and other members of the community seven days a week including a Day Centre.

ACSOS has grown significantly over the past few years and this growth will continue once The Haven becomes fully operational later this year. As a result, the charity needs to create a dedicated role (the “Bookkeeper”) to manage its finances.
Job Purpose:
The Bookkeeper (“the Bookkeeper”) will play a key role in ensuring the financial health of the Charity, and in particular, develop and oversee the management of the financial operation of our new Day Centre which will be at The Haven, Hamlet Court Road. Working closely with the CEO, Centre Manager and Treasurer, the bookkeeper will maintain financial records, produce invoices and ensure payments are duly received.

Main Duties and Responsibilities:

Key tasks include (but are not limited to):
• Ensuring all income and expenditure transactions are recorded and ledgers kept up to date on the ACSOS accounting system (currently Sage)
• Ensuring all source documents are filed efficiently
• Reconciling our bank accounts and petty cash account on a monthly basis
• Assisting the Treasurer and Chair to develop budgets and financial projections
• Handling accounts payable and receivable
• Managing profit and loss statements and balance sheets
• Paying regular bills for the Charity
• Handling client invoices by recording and approving or denying the payments
• Invoicing and paying vendors for their goods and services
• Dealing with supplier queries
• Handling bank deposits
• Preparing information for auditors, executive meetings and annual general meetings
• Producing ad hoc reports and additional bookkeeping duties as required by management
• Maintaining your own and your colleague’s health and safety at all times

Skills and Abilities:
• AAT or part-qualified accountant or equivalent financial qualification or able to demonstrate equivalent bookkeeping knowledge and experience

• 1 year’s experience working with financial applications, i.e. SAGE, Quickbooks or similar financial accounting package
• Knowledge of data management and financial data analysis
• Proficient in Word, Outlook and Excel

Salary etc:
• Starting Salary will be £18-20,000 depending on experience
• Holiday entitlement is 20 days plus Bank Holidays
• There will be a six month probationary period, extendable at the Trustees discretion
